Privacy, permission and deletion
What Climb report keeps, who sees it, the permission needed to upload a video, and how to have everything deleted. Last changed on 10 October 2026.
Privacy
What is kept
- Your account: a username, a name, a password stored only in scrambled form, the kind of account, and for a coach the gym. An email address and phone number only if you choose to add them.
- Climbers: the name you give each climber. It can be a first name or a nickname. No date of birth, address or other detail is asked for.
- Climbs: the video you upload, and the report made from it: body positions measured from the video, times, the holds used, pictures and short clips taken from the video, the written notes and the PDF.
- Routes: the photo of the wall and the holds picked on it.
- Comments a coach writes on a climb, and any message you send us through “Send feedback”.
- A record of use, to see whether the app works and is useful: which account opened the app on which day, uploaded a climb or opened a report, and faults that happened, with the kind of phone and browser. It holds account numbers, not names.
- If you ask for a notification when a report is ready, the address your phone gives for sending it.
What it is used for
Only to make the reports, to show them to you and to the coaches you choose, and to keep the app working and improve it. Nothing is sold, nothing is used for advertising, and we do not use your videos to train AI models.
Who sees it
- You, and anyone you give your account's password to.
- The coaches you tick for a climber: they see that climber's climbs, videos and reports and can comment on them. Untick a coach to stop that.
- The administrators of the service, who can see everything in order to run it and to help when something goes wrong.
- Anyone you send a share link to. A share link shows one report and its video to whoever has the link, without signing in. You can switch a link off at any time.
- Routes, with their wall photo, are seen by everyone with an account.
Other companies that handle it
Three companies handle the data for us, only to provide the service:
- Microsoft Azure stores everything, in its West Europe region (the Netherlands), and keeps daily backups for 30 days.
- VLM Run (vlm.run) receives the wall photo and pictures from the video, to find the holds and the position of the climber's body.
- Anthropic receives the measurements, the route's name and a number of still pictures from the video, to write the coaching notes and translate them.
Names, usernames, email addresses and phone numbers are not sent to the two AI services. Their computers may be outside your country, including in the United States.
Cookies
One cookie keeps you signed in, for up to 180 days. Your choice of language and a few choices on the screen are kept in your browser. There are no advertising or tracking cookies and no outside analytics.
Your rights
You can ask what is kept about you or your child, have it corrected, have it deleted, and withdraw a permission you gave. These rights come from data protection law, including the KVKK in Türkiye and the GDPR in the European Union. Most of it you can do yourself in the app; for anything else, write to us at the address under Contact.
Permission and children
- A video shows a person, so it may only be uploaded with that person's permission. If the climber is a child, the permission must come from a parent or guardian.
- Whoever uploads a video confirms this each time, and the confirmation is recorded with the date. The upload form says that the video is sent to AI services to be analysed.
- Accounts are held by adults: a parent, an adult climber or a coach. Children do not have accounts of their own.
- A coach who uploads for a child needs the parent's permission first. A club that uses Climb report is responsible for collecting that permission from its families.
- Try to film so that other people are not in the picture. If someone else can be recognised in a video, their permission is needed too.
- Permission can be withdrawn at any time by deleting the climb, the climber or the account, or by writing to us.
Deletion
What is deleted automatically
What you can delete yourself
- One climb: open it and choose “Delete this climb” at the bottom. Its video, report and comments go.
- One climber: open the climber and choose to delete them. All their climbs, videos and reports go.
- Your whole account: open “Your account” at the bottom of the home page and choose “Delete my account and everything in it”. The account, its climbers and all their climbs, videos and reports go, at once.
- A share link: switch it off on the climb's page, and it stops working.
What stays, and for how long
- Backups still hold deleted data for up to 30 days, after which it is gone from them too.
- Routes you added, with their wall photo, stay for the other people who climb them. Ask us if you want one removed.
- The record of use keeps its counts under an account number that no longer belongs to anyone. Messages you sent us as feedback are kept with the name you had; ask us if you want them removed.
If you cannot sign in, or have no account
Write to us, or ask the coach or club that uploaded the video. Say which climber and roughly when the video was made. We delete it within 30 days and tell you when it is done.
